Interview Intro (www.interviewintro.com) is a candidate ATS (applicant tracking system) used by employers to receive job applications from candidates who apply for specific job opportunities.  The system allows companies to offer one-way video interview requests to candidates, as part of an initial screening process in the early recruitment stages, whilst giving candidates the opportunity to provide more than just a CV or cover letter to showcase their suitability for a job role.


Information for applicants:

Interview Intro takes data protection very seriously and understands the importance of protecting your privacy and Personal Information. ‘Personal Information’ is information that identifies you as an individual such as your name, date of birth, email address, CV and IP address.

We will ensure that the information you submit to us via our website, via online job boards, job adverts, by email, or through mobile apps is used only for the purposes set out in this policy. 

By choosing to apply for a job with an organisation using Interview Intro’s ATS, you agree that your data will be held by Interview Intro for the purpose of fulfilling your application with the relevant organisation.  Your data will therefore also be available to the organisation to which you applied, so you should also refer to their Privacy Policy prior to submitting details.  Interview Intro does not access applicants’ data for any reason other than to supply the paying organisation the applicant tracking system and video interview platform (ie provide assistance to organisations where required.)


What legal basis do we rely on to process your Personal Information?

• Consent

Interview Intro processes your data with your consent. For example, we rely on consent when you apply to a position via a weblink direct to the Interview Intro / client portal.  You have the right to withdraw consent at any time.  Where consent is the only legal basis for processing, we will cease to process data after consent is withdrawn.

• Legitimate interest

Interview Intro is used by companies who recruit using numerous methods and platforms (job boards, newspapers, company websites etc), therefore when you apply directly to a particular position within your chosen company, they may use Interview Intro as their ATS system to store your application and request a one-way video interview with you.  The legitimate interest is to assist in you getting an interview for the job and company for which you have applied.


How does Interview Intro protect the privacy of applicants applying for job vacancies?

We take the security and privacy of all Interview Intro users very seriously and have followed the GDPR guidelines to protect the privacy of all users of Interview Intro whether or not they are EU residents. Any data uploaded to Interview Intro is securely transmitted using 256 bit encryption. Our servers are hosted by DigitalOcean (New York).  Applicants can request to have their video interview and any other personal data removed from our servers. To do so send an email from the email address you used to take the interview to dpo@interviewintro.com. Companies using Interview Intro review the application information to help them make a decision on the suitability of a candidate and whether to invite for a face to face interview. The information is only shared with authorised recruiting staff or other key members within the company looking to make the hire. These staff must first accept the Terms & Conditions and Privacy Statement enforced by Interview Intro.

The video interviews are only allowed to be viewed from our servers and we do not offer a facility for the video data to be downloaded to other computer devices. No data is processed or used for a secondary purpose.


Information for organisations:

By using Interview Intro’s applicant tracking system, you confirm that your organisation also has a Privacy Policy in place, in line with GDPR regulations.

Interview Intro acts as Data Processor and organisations using the service are Data Controllers.  Interview Intro does not access applicants’ data for any reason other than to supply the paying organisation the applicant tracking system and video interview platform (ie provide assistance where required.)


Data Collection
interviewintro.com collects a limited amount of non-personal information that your browser makes available whenever you visit a website. It includes your IP address, browser type, browser language, the date and time of your visits, and cookie that may identify your browser. We use this information for our internal use only. 

Registering as an organisation (customer)
interviewintro.com requires organisations to register for an account to become a customer. When you register, personal information is collected and stored in our system. This information is necessary to provide membership services. Your personal information will not be shared outside of interviewintro.com. 

Cookies
When you surf the interviewintro.com website, a cookie is sent to your computer that uniquely identifies your browser. A "cookie" is a small file containing a string of characters that is sent to your computer when you visit a website. We use cookies to improve the quality of our services and to better understand how people interact with us. We do this by storing user preferences in cookies and by tracking user trends and patterns of how people use the Web. Most browsers are initially set up to accept cookies. You can reset your browser to refuse all cookies or to indicate when a cookie is being sent. 

Orders
When you order a product from us we automatically set you up an account. If you pay by credit card your secure payment will be processed by our processing partner. They handle all payment transactions for interviewintro.com. Your order is placed when you have filled out the appropriate form. Information about your order will be stored in our customer database, at which time interviewintro.com assumes full responsibility for your privacy and security. 

Information sharing
interviewintro.com stores your personal information with your personal account. interviewintro.com does not sell your personal information to other companies or individuals. interviewintro.com takes appropriate security measures to protect against unauthorized access to or unauthorised alteration, disclosure, or destruction of data.
